This Privacy Policy explains how Mouswerk collects, uses, stores and protects personal information when you use our website and our software (the Service). We are based in New Zealand and handle personal information in accordance with the Privacy Act 2020.
1. Who we are
Mouswerk provides AI-assisted job management software for trades and service businesses. In this policy, we, us and our mean Mouswerk. If you have any questions about this policy or your personal information, contact us at privacy@mouswerk.com.
2. Information we collect
We collect information that you provide to us, information created as you use the Service, and information from services you choose to connect.
Information you give us
- Account and business details such as your name, email address, phone number, business name and role.
- Operational data you enter such as customers, quotes, jobs, invoices, pricing, timesheets, health and safety records, site notes, hazards and photos or receipts you upload.
- Billing information needed to manage your subscription.
- Support and enquiry information when you contact us or submit a form.
Information from connected services
- Xero — if you connect Xero, we access invoices, bills, contacts and related accounting data from the organisation you authorise, so we can keep your records in sync and build your cashflow forecast.
- Google / Gmail — if you connect Gmail, we access only what is needed to send quotes and invoices on your behalf and to support related workflows, using the access you grant.
Information collected automatically
- Usage and device data such as pages viewed, actions taken, browser type, and approximate location derived from your IP address.
- Cookies and similar technologies used to keep you signed in and to understand how the Service is used.
3. How we use your information
- To provide, operate and improve the Service, including having our AI assistant (Otto) draft quotes, schedules, invoices and health and safety documents for your review.
- To sync data with services you connect, such as Xero.
- To manage your account, process billing and provide customer support.
- To keep the Service secure, prevent misuse and meet our legal obligations.
- To communicate with you about your account, updates and, where you have opted in, product news.
4. AI processing
The Service uses artificial intelligence to help draft documents and suggest actions. To do this, relevant content you provide may be processed by trusted third-party AI providers acting on our instructions. We do not permit these providers to use your data to train their general models. Otto only ever proposes work; you review and approve it before anything is sent, booked or invoiced. AI output can contain errors, so you remain responsible for checking it before you rely on it.
5. Google API disclosure
Mouswerk's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We only use Google user data to provide and improve the features you have connected, and we do not sell it or use it for advertising.
6. Sharing your information
We do not sell your personal information. We share it only:
- with third-party providers who host and run the Service on our behalf (for example cloud hosting, database, email delivery and AI providers), under obligations of confidentiality and security;
- with services you choose to connect, such as Xero and Google, to provide the features you have enabled;
- where required by law, or to protect the rights, safety or property of you, us or others.
7. Storage, location and security
Your data is stored using reputable cloud infrastructure and is protected with encryption in transit, access controls and per-organisation separation so one business cannot see another's data. Some of our providers store or process data outside New Zealand; where this happens we take reasonable steps to ensure comparable protections apply. No system is completely secure, but we work to protect your information and to promptly address any issues.
8. How long we keep it
We keep personal information for as long as your account is active and as needed to provide the Service, then for a reasonable period to meet legal, tax and record-keeping obligations, after which we delete or de-identify it.
9. Your rights
Under the Privacy Act 2020 you may request access to, and correction of, the personal information we hold about you. You can also ask us to delete information where we are not required to keep it. To make a request, email privacy@mouswerk.com. You can disconnect Xero or Google at any time from the Connections screen in the app.
10. Cookies
We use essential cookies to keep you signed in and to run the Service, and limited analytics cookies to understand usage. You can control cookies through your browser settings, though some features may not work without them.
11. Children
The Service is intended for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16.
12. Changes to this policy
We may update this policy from time to time. We will post the updated version here and change the date above. Significant changes will be notified through the Service or by email.
13. Complaints and contact
If you have a concern about how we handle your information, contact us first at privacy@mouswerk.com and we will work with you to resolve it. You also have the right to complain to the Office of the Privacy Commissioner.
